INSTALLATION When it comes to setting up Meeting Room Manager, you have one of three choices to make. That choice is which MRM software suits the needs of your organization best, MRM Team, MRM Web or MRM Enterprise. Meeting Room Manger 'Team Edition' is targeted for an individual or a small team (up to 10 on a network) to use. This typically would be best for a single site use over their local network while sharing data in a Microsoft Access™ database. You can use a demo of this software for 30 days by registering on www.netsimplicity.com and downloading the .exe file. Meeting Room Manager 'Web Edition' would best suit organizations with many users needing access from any web browser. With the ability to support hundreds of users and resources across multiple sites. Microsoft IIS Web Server and Microsoft SQL Server based solution for business-class performance. Meeting Room Manager 'Enterprise Edition' is diversely adapted towards large enterprises with locations globally accessed by thousands of users. Again, this uses the web based interface for maximum efficiency. NetSimplicity will go the extra mile and offer their best-in-class all-inclusive scheduling software with implementation, customization and training professional services.
CONFIGURATION After the database is setup on the server, and the webpage is up and functional on the local internet/intranet its time to set it all up with the company specifics. This software is FULLY customizable when it comes to setting up the specific rooms, users, filters, Security Groups, rules, Resource Types, etc. You can even go the extra step and fully customize the look of the interface to meet the organization's identity. This is a one time configuration, once everything is setup in here(under the ADMIN section) then everything else is simplistic. Access is controlled by username and password, so security is maintained. If you have over a hundred rooms to setup, this is the ONLY part that can be long and tedious. Good thing its only a one time setup, its all smooth sailing from there. You can even save rules which run SQL queries and display messages when reservations are saved. INTERFACE I must say the interface is extremely impressive. While being easy on the eyes with its toned down colors, it also sports some impressive graphics and icons that are easy to understand for the simplest of users. A very handy frame on the left has an easy to read calendar, with today’s date conveniently circled in red. accompanied by a list of available locations that you can choose from. Below that are options to set current location, custom filters (conference rooms, meeting rooms, video capability, etc), and finally color legend(which tells you which type of meetings are booked, love the colors!)
At the top you have another menu with the options Reserve, Meetings, Resources, Confirm, Reports, Admin and Logoff. The Reserve section will allow you to book your room between certain time slots and will also let you enter prep time and cleanup time. Options are great as you can also choose 'All day event' or 'Recurrence' if you have the same meetings every day/week/year @ the same time. Resources will allow you to book Televisions, DVD players, overhead projectors, projection screens or whether or not the room support catering orders. The dropdown menus were a very nice touch, not having to remember every room name is definitely a time saver. If you are renting out your meeting rooms you can also search by hourly rate or how many people the room can seat. Not sure if a meeting has been confirmed? The 'Confirm' section will tell you everything you need to know. Again very easy to search with the drop down menus and the radio button options. Curious how often a room is being used, or which ones aren't? Run the 'Reports' option and get information on just about anything you can think of. This option is very user friendly and there was next to no lag time while running the reports. Admin section is where you can setup the different colors, input the room names, user names, custom rules, resource types, etc. Also along the top at the far right you have 3 little circle icons, you can view the current list of users, use their very informative help function(which solve all of our questions) or Suggest improvement to this software. So if there's a great feature that is not a part of Meeting Room Manager, then you can request it! Very cool feature. FUNCTIONALITY We tested this software using our own meeting rooms / meeting schedules and were impressed with the flawless functionality of the software. We even added several users and had them test it to its full potential. The software worked with little to no lag and kept up to our high demand environment. We tried several times to Overlap meetings or double book conference rooms without any success. We then proceeded to add custom colors to the background to perfectly match the colors of our own organization, which gave it that added appeal. CONCLUSION It has been a pleasure reviewing Meeting Room Manager version 6. its not often we come across software that has the ease of use and functionality like this has. The layout was simple, easy to get around, while the colors made it easy on the eyes. The icons make browsing of the software a joy while adding to the user experience. This software is simple perfect if you have a small business or major corporation, it suits the needs of any organization.
